Privacy Policy

This Privacy Policy explains what information Practice Plan ("Practice Plan," "we," "us," or "our"), operated by Parcee, collects when you use our mobile apps, website, and connected services (together, the "Service"), how we use and share it, how long we keep it, and the choices and rights you have. By using the Service you agree to the practices described here.

1. Information We Collect

We collect the following categories of information:

  • Account information — your name, email address, password credentials, profile photo (if provided), and coaching role.
  • Team and coaching content — the data you create in the app, including teams, practice plans and their periods, the reusable period library, practice templates, tags, season roadmaps, team files and in-app documents (such as scouting reports), and your coaching staff roster (coach names, email addresses, and permission levels).
  • Player roster data — the players you add to a team and organize into position groups. A roster record is limited to the player's first and last name, jersey number, position, roster-group membership, practice attendance status, and free-text coaching notes. We do not request, and the Service provides no field for, a player's date of birth, home address, phone number, email address, parent or guardian contact details, health or medical information, or any government identifier. Roster records are entered and controlled by the coach (see Section 9).
  • Subscription status — if you subscribe, we receive your plan, its renewal state, and a transaction identifier from the provider that handled the purchase. Payment itself is processed entirely by those providers; payment card and bank account details are never sent to, received by, or stored on our systems (see Sections 2 and 4).
  • Usage, device, and log data — information generated as you use the Service, such as IP address, device and browser type, app version, pages or screens viewed, actions taken, and timestamps, collected for security, diagnostics, and product improvement.
  • Communications — the content of support requests, feedback, and other messages you send us.
  • AI assistant connection data — if you connect a third-party AI assistant (see Section 6), we process the authorization tokens for that connection and the requests it makes on your behalf. See Section 6 for exactly what the assistant can read and write.

2. Data We Never Collect

Practice Plan is a practice-planning tool for sports coaches. The Service does not request, and provides no field or feature for entering, any of the categories below. This applies to our mobile apps, our website, and every tool exposed to a connected AI assistant (Section 6):

  • Health or medical information — including injuries, symptoms, diagnoses, treatment, medications, allergies, physical or medical clearance forms, and any protected health information as defined under HIPAA. We are not a covered entity or business associate and do not create, receive, maintain, or transmit protected health information.
  • Biometric data — including fingerprints, facial-recognition templates or scans, voiceprints, retina or iris scans, gait, and any other physiological or behavioral measurement used to identify a person.
  • Government identifiers — including Social Security numbers, national identification numbers, taxpayer identification numbers, and passport, visa, or driver's license numbers.
  • Payment card data — we never receive, transmit, or store primary account numbers, cardholder names as they appear on a card, expiration dates, security codes, or bank account numbers. Card details are entered directly with Stripe, Apple, or Google and never reach our systems, so the Service is outside the scope of the PCI Data Security Standard.
  • Player contact and identity details — roster records carry no dates of birth, home addresses, phone numbers, email addresses, or parent and guardian contact information.
  • Precise geolocation, and no special-category data such as racial or ethnic origin, religious or philosophical beliefs, political opinions, trade union membership, genetic data, sex life, sexual orientation, or immigration status.

Coaching notes on a practice, period, or player are free-text fields meant for practice and performance planning — a depth-chart role, a skill to work on, a rep count. Our guidance in the app and in this policy is not to enter health, medical, contact, or identifying information about a player in them. We do not ask for that information, and no feature of the Service depends on it.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service and your account.
  • Create, store, sync, and share your teams, practice plans, and related content.
  • Process subscriptions, payments, and related transactions.
  • Send transactional messages such as coach invitations, security notices, and support replies.
  • Authenticate and fulfill requests made by an AI assistant you have connected.
  • Secure the Service, prevent fraud and abuse, and debug and diagnose problems.
  • Improve existing features and develop new ones, and understand how the Service is used.
  • Comply with legal obligations and enforce our terms.
  • Send marketing communications where permitted — you can opt out at any time.

We do not sell your personal information, and we do not use the content of your practice plans or team documents to train our own or third parties' AI models.

4. How Your Information Is Shared

We share information only as needed to run the Service, and with the following categories of recipients:

  • Members of your teams — content you create is visible to other coaches on the same team, according to each coach's permission level (view, edit, or admin).
  • Cloud infrastructure — Google Firebase (Authentication, Firestore, Cloud Storage, Cloud Functions, and Hosting), which stores and processes your account and team data on our behalf.
  • Payment processors — Stripe, RevenueCat, and the Apple App Store and Google Play, to take payment and manage subscriptions. Card details are entered directly with those providers and handled solely by them; we receive only subscription status and transaction identifiers.
  • Email delivery — our transactional email provider, used to send coach invitations and account-related messages.
  • AI assistant providers you choose to connect (for example OpenAI for ChatGPT, or Anthropic for Claude). When you use a connected assistant, the data it requests and the content it creates pass through that provider under their privacy policy. See Section 6.
  • Analytics and diagnostics providers, to monitor performance, stability, and usage of the Service.
  • Legal and safety recipients — we may disclose information when required by law, to respond to lawful requests, or to protect the rights, safety, and property of Practice Plan, our users, or the public.
  • Business transfers — if we are involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

Service providers are bound by contract to use your information only to provide services to us and to keep it confidential.

5. Data Retention

We retain your account and team content for as long as your account is active or as needed to provide the Service. When you delete a specific item (such as a practice plan, template, tag, roadmap, file, or coach), it is removed from our active systems promptly. When you delete your account, we delete your personal information and the content you own, removing you from your teams; backups and logs are purged on a rolling basis, generally within 90 days. We may retain limited information for longer where required to comply with legal, tax, or accounting obligations, resolve disputes, or enforce our agreements.

6. AI Assistant Connections

You can optionally connect a third-party AI assistant (such as ChatGPT or Claude) to your Practice Plan account so it can help you plan practices by chat. This section describes exactly what a connected assistant can do and the data involved.

How the connection works. Connections use the OAuth standard. You sign in to Practice Plan and grant access; the assistant receives a limited access token and never sees your Practice Plan password. Access is always scoped to the teams you belong to and respects your role on each team (view, edit, or admin). Your identity is derived from the connection itself, not from anything the assistant types.

What a connected assistant can read. When you ask it to, the assistant can read the teams you belong to and your role on each; your practice plans and their periods; your reusable period library; practice templates; tags; season roadmaps; the coach roster (coach names, emails, and permission levels); your player roster and position groups (player names, jersey numbers, positions, and coach notes); and your team files and in-app documents.

What a connected assistant can write. With your instruction it can create and update practice plans, periods, templates, tags, season roadmaps, and documents and folders; add, update, archive, and (only where no attendance history exists) delete players and manage roster groups; invite or remove coaches and change their permissions (admin role only); and delete items you ask it to delete. Inviting a coach sends an invitation email to the address you provide.

What it can never access. Billing, subscription, payment information, and account-management functions are not exposed to connected assistants at all. And because the Service does not collect the categories listed in Section 2, there is no health, biometric, government-identifier, payment card, or player contact data for a connected assistant to read or write — no tool accepts or returns any of it.

  • Content you send to or create through an assistant is transmitted to that assistant's provider (for example OpenAI or Anthropic) and handled under their privacy policy — review your AI provider's terms for how they use and retain your conversations.
  • You can review and revoke a connection at any time from your Profile page under "AI Assistant Access." Revoking immediately invalidates the assistant's access tokens, and rotated tokens are invalidated as a family to prevent replay.

7. Data Security

We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. Data is encrypted in transit and at rest, access is scoped by team membership and permission level, and AI assistant connections are authorized with revocable, scoped tokens rather than your password. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Your Rights and Choices

Depending on where you live, you may have some or all of the following rights. You can exercise them in the app or by contacting us:

  • Access the personal information we hold about you.
  • Correct inaccurate or incomplete information from your profile.
  • Delete your data, including deleting your account from your profile settings.
  • Export your data in a portable format.
  • Revoke AI assistant access at any time from Profile → AI Assistant Access.
  • Opt out of marketing communications while still receiving essential service messages.
  • Manage cookies through your browser settings.

We will not discriminate against you for exercising these rights. To make a request, contact us at the address in Section 13.

9. Children's Privacy

The Service is designed for and marketed to coaches. Accounts are created by adults; we do not knowingly allow anyone under 13 to create an account, and we do not collect personal information directly from children. Coaches may enter roster records for the athletes they coach, some of whom are under 18. A roster record holds only what is needed to run a practice — name, jersey number, position, group membership, attendance status, and coaching notes. It carries no date of birth, no contact information, no health information, and no identifier of any kind, and the Service provides no field for entering them (see Section 2). Roster content is entered and controlled by the coach or team, is treated as team content under this policy, and (like other team content) can be read and edited by an AI assistant the coach has connected. Coaches are responsible for having any consent their school, club, or league requires before recording roster information, and for keeping notes limited to coaching matters. If you believe a child's information has been provided to us improperly, contact us and we will remove it.

10. International Data Transfers

We and our service providers may process and store your information in the United States and other countries where our providers operate. These countries may have data-protection laws that differ from those in your country. Where required, we use appropriate safeguards for such transfers.

11. Cookies and Tracking

We use cookies and similar technologies to keep you signed in, remember your preferences, secure the Service, and understand usage. You can instruct your browser to refuse cookies or to alert you when a cookie is being sent; some features may not function properly without them.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide a more prominent notice. Your continued use of the Service after an update means you accept the revised policy.
